The Administrative/Executive Assistant is responsible for supporting the efforts of his/her Senior Vice President and their team.  We currently are looking for administrative assistants to work with our SVPs of Marketing and Human Resources and one to work with the SVP/VP of Operations and VPs of Sales and Resident Care.  S/he helps coordinate meetings and schedules, provides computer processing and reporting support, and assists in special projects as appropriate.

 

Responsibilities:

  • Creating and designing presentations, flow charts and diagrams using PowerPoint
  • Heavy and complex calendar management
  • Making meeting arrangements including ordering meals
  • Making travel arrangements
  • Coordinating meetings both on and off site
  • Maintaining office organization (filing, typing, copying, etc.)
  • Answering / screening incoming calls
  • Sorting / distributing incoming mail
  • Covering reception desk as appropriate
  • Assisting with meeting set up and breakdown
  • Coding expenses and credit card reconciliation
  • Preparing various reports

 

Job Requirements

Requirements

  • Must have 3 to 5 years progressive experience in and administrative role or office management.
  • Certificate or Associates degree required; Bachelors degree preferred.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook and Access) as well as familiarity with the Internet and its search tools.
  • Strong organizational, oral and written communication skills
  • Knowledge of office equipment and ability to trouble shoot problems.
  • Maintains databases (vendors, etc.)
